Halloween planning meetings. –

Do you have meetings to discuss plans for your upcoming Halloween setup?
If you do, how do you go about arranging them?
We have had a few meetings and there are some changes I would like to make to them.
First off, limit the booze consumed. I understand we are all of age and its kinda a party like atmosphere with a dozen people but booze does not help.
Second, more attentiveness. No more ploppin on the couch and watchin some tv, or side tracking the conversation.
Those were the two main issues with tonight's meeting. Next meeting is in a month and we plan on getting two head casts done, so changes will be made.
Yeah I know, there's 6 months until Halloween, and a lot of themes can be put together is 3 months easy. But not this time, because we plan on building a vortex tunnel, a winding entrance tunnel, some very detailed inner and outer sets as well as sewing at *least* 4 characters costumes. Everything needs to be planned out now and started as soon as possible.
Our plan this year, as directed by me, is Alice in Wonderland.
No, not Tim Burton's style. I want this as far apart from Burton's Wonderland as possible, which is going to be hard as two people in the group seem dead set on having some Burton influence.
We are introducing a new idea to our haunt, which is Guides, who will lead small groups through the haunt. Mostly it is for regulating how many people go through at one time, but an added benefit is having someone there to stop people from damaging out sets, as that was a bigger issue this past year.
Over all these meetings have been frustrating and not much gets done, much less that I would like.
So if you hold meetings for planning your haunt and they are more successful and productive, what are your tips and tricks for those of us who are holding meetings or may start holding meetings?
